Job Description:
We are seeking a motivated, detail-oriented individual to join Island Lake Lodge as a Wedding and Event Sales Coordinator. Our ideal candidate is highly organized with strong communication and customer service skills, keen attention to detail, and can build ongoing relationships with guests and colleagues.

Primary responsibilities include executing weddings and events at Island Lake Lodge. You are also a valuable member of the Sales and Reservations team, contributing on all reservation matters in the winter and summer months as support is needed. You will work closely with Management as you help develop wedding and events packages that take advantage of the best of Island Lake’s amazing facilities, resulting in world-class execution and unforgettable memories for our guests.

Job Requirements:

  • Excellent phone etiquette and communication skills, promptly responding to phone, email and walk ins and the ability to resolve customer issues.
  • Strong computer proficiency and email communications.
  • Ensure lead generation through focused sales efforts: trade shows, website, blogs, Social Networks, data-base and email campaigns. Develop creative and effective new approaches to lead generation.
  • Perform lead follow-up and tracking, fulfillment and sales closing. Notes about customer’s expectations; ensure regular communications with operations, vendors, and planners
  • Generate quotes and contracts for inquires and bookings.
  • Ensure optimal event design for clients based on their needs and within the documented capabilities of Island Lake Lodge.
  • Work closely with vendors, partners and Island Lake Lodge operations to ensure a successful event is planned and communicated to customer.
  • Lead and direct the wedding events at the lodge, with support from the lodge team ensure the optimal event is delivered.
  • Be present as needed on location, for the execution of events and weddings. Provide information, make introductions between operations, vendors, planners and customers as required.
  • Work closely with the Reservations department to ensure lodging / packages are clearly understood and booked in an efficient way.
  • Build a strong understanding of the reservations software (Maestro, Silverware).
  • Make reservations for individuals/group bookings, maintaining client profiles as well as managing payments, deposits, and outstanding balances.
  • Process sales for customers who purchase retail items from the downtown office.
  • Assist in the distribution of marketing materials and maintenance of client database
  • Become familiar with skiing terminology and gain an understanding of the Island Lake terrain.

Skills and Experience Required:

  • Organized, outgoing and have patience for working closely with people.
  • Minimum 2 years of sales experience.
  • Proven event planning experience.
  • Demonstrate excellent communication and follow-up skills.
  • Self-motivated and able to work independently.
  • Show consistent professionalism and good judgement.
  • Expertise with computers, especially Microsoft Office products.
  • Knowledge of Property management or Hotel reservations systems an asset.
  • Able to work evenings & weekends to execute weddings / events as the position requires. Must be available over peak wedding and events season (Spring/Summer).
  • Experience and knowledge of food and beverage and the tourism industry.
