LWE Builders is seeking a highly organized and proactive Administrative Coordinator to oversee daily operations within our office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive understanding of administrative functions. This role is vital in ensuring smooth office workflows, management across projects and field staff, and facilitating various company operations.

This role is primarily responsible for core administrative operations, while also supporting the Owners and the ongoing systemization of the company. This role will serve as the primary point of contact for internal teams and external partners, fostering a professional and efficient workplace.

Alongside an aptitude for technology, LWE Builders is seeking an individual with strong verbal, written, and interpersonal communication skills.

Key Responsibilities

Administrative Operations

  • Day-to-day admin coordination across construction projects, office, and field
  • Document control, file organization, and record management (SharePoint / OneDrive)
  • Support with project documentation, internal communication, and operation as needed
  • General office organization and administrative consistency
  • Manage human resources functions such as onboarding, training & development, and employee records
  • Facilitate and support Company IT and Marketing development
  • Coordinate scheduling, meetings, and events to support organizational goals
  • Front desk reception, ensuring professional phone etiquette and prompt responses

Owner & Leadership Support

  • Direct support to the Owners (priorities, scheduling, coordination)
  • Prepare materials, summaries, and research to support decision-making
  • Help keep leadership aligned and organized week-to-week

Systems & Process Improvement

  • Identify inefficiencies and propose better ways of operating
  • Build and maintain simple, effective systems (templates, trackers, workflows)
  • Support ongoing implementation of company standards and processes (HR Policy and Health and Safety Policy)
  • Help ensure systems are used and maintained across the team

What You Bring

  • Strong administrative experience (construction or professional services is an asset)
  • Strong front desk management skills with excellent phone etiquette
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Effective communication skills for interacting with staff, vendors, and clients
  • Highly organized with strong attention to detail
  • Tech-savvy — comfortable with Microsoft 365, SharePoint, and learning new tools quickly
  • Systems thinker — you naturally look for ways to improve how things work
  • Strong written and verbal communication and interpersonal skills
  • Experience in human resources functions including hiring, onboarding, and employee relations is an asset
