We are a busy veterinary practice looking for a Practice Manager to join our team. We take pride in providing excellent patient care while creating a positive experience for our clients and staff. We value teamwork, accountability, communication, and a willingness to jump in wherever needed.

This position is ideal for someone who enjoys leading people, improving processes, and being involved in the day to day operations of a veterinary hospital.

The Practice Manager is responsible for overseeing the daily operations of the clinic and supporting the entire hospital team. Working closely with the Medical Director and ownership, you’ll help ensure we are providing exceptional care to our patients, outstanding service to our clients, and a positive, productive work environment for our staff.

Job Duties Include:

Team Leadership & Human Resources

  • Recruit and hire new team members, including posting positions, reviewing resumes, conducting interviews, and checking references.
  • Coordinate onboarding and orientation for new employees.
  • Support and supervise veterinarians, RVTs, assistants, receptionists, kennel staff, and other team members.
  • Conduct regular check-ins and annual performance reviews.
  • Address staff concerns and assist with conflict resolution and disciplinary matters when necessary.
  • Maintain employee contracts, job descriptions, and the Employee Handbook.
  • Coordinate student placements and volunteer opportunities.
  • Work with the Medical Director and owners on compensation reviews and staff recognition initiatives.
  • Assist with scheduling to ensure appropriate staffing levels.

Clinic Operations

  • Oversee the daily flow of the hospital and treatment area.
  • Identify workflow issues and implement practical solutions to improve efficiency.
  • Support the team during busy periods and help troubleshoot operational challenges as they arise.
  • Ensure treatment areas remain organized, clean, and ready for patient care.
  • Develop and maintain clinic protocols and standard operating procedures alongside the Medical Director.
  • Encourage communication and collaboration between all areas of the clinic.
  • Oversee pharmacy operations and ensure medications are handled appropriately and in accordance with regulations.
  • Monitor controlled drug records and support compliance requirements.
  • Maintain inventory levels of medications, medical supplies, and clinic consumables.
  • Coordinate ordering and purchasing of supplies and equipment.
  • Perform regular inventory reviews and investigate discrepancies.
  • Arrange servicing and maintenance of clinic equipment as needed.

Client Experience & Business Support

  • Help ensure every client interaction reflects the values of our practice.
  • Support team members in resolving client concerns and complaints professionally and compassionately.
  • Review clinic performance and identify opportunities to improve efficiency and service.
  • Work with leadership to review pricing for products and services when appropriate.
  • Support the overall success and growth of the practice through sound operational decision making.

Health & Safety

  • Serve as the clinic’s Health and Safety Coordinator.
  • Ensure required training and certifications remain current.
  • Coordinate workplace safety initiatives and maintain safety records.
  • Act as the primary contact for WorkSafeBC claims and reporting.
  • Ensure emergency equipment and safety protocols are maintained and up to date.
  • Promote a safe working environment for all team members.

Community Involvement

  • Represent the clinic professionally within the community.
  • Coordinate outreach initiatives and community events.
  • Assist with website updates and social media needs.
  • Help promote the clinic as a trusted and progressive veterinary practice.

What We’re Looking For

Required Qualifications:

  • Previous leadership or management experience (preferably in a Practice Management role).
  • Human resources experience, including hiring and performance management.
  • Strong communication and interpersonal skills.
  • Proven ability to lead, motivate, and support a team.
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional, approachable, and solutions oriented.
  • Strong computer skills and comfort learning new systems.

Preferred Qualifications:

  • Experience working in a veterinary hospital.
  • Certified Veterinary Practice Manager (CVPM) designation, or interest in pursuing certification.
  • Occupational health and safety experience.
